Position: Administrative Officer CQV

FTE: Full Time, Fixed Term (6 months)

Location: Cremorne

Salary: $77,201.60 to $83,824.16 (Inclusive of 12% Superannuation)

 

About the Role

The Administrative Officer CQV plays a pivotal role in delivering high-quality client service and administrative support for the Chinese Qualification Verification services offered by VETASSESS. This position is responsible for managing communications, maintaining accurate records, and ensuring the smooth operation of CQV processes in alignment with regulatory and quality standards. The role requires strong communication skills, fluency in Mandarin, attention to detail, and the ability to work independently and collaboratively in a dynamic environment. 

 

Acting as the primary point of contact for CQV customers, the role supports internal teams and external stakeholders—including applicants, migration agents, and CSSD China—through professional correspondence, data management, and logistical coordination. The officer also assists the management team with offshore stakeholder engagement, reporting, and contractual reviews, while contributing to continuous improvement initiatives across the SRGO unit.

 

Key Responsibilities

  • Providing administrative and secretarial support across CQV services.
  • Preparing correspondence and reports related to Chinese qualifications.
  • Performing data entry and maintaining databases with accuracy and confidentiality.
  • Supporting translation and interpretation between Mandarin and English.
  • Liaising with CSSD and other stakeholders to ensure efficient service delivery.
  • Assisting in policy and procedure reviews, document control, and quality assurance.
  • Generating reports and invoices and supporting contractual renewals.
  • Responding to client inquiries and resolving concerns with professionalism.
  • Promoting teamwork and collaboration across VETASSESS units.

 

Key Requirements

 

  • Demonstrated fluency in Mandarin with a focus on delivering an excellent customer experience (Mandatory)
  • Relevant Degree with relevant work experience, or a suitable combination of lesser qualifications and significant relevant experience.
  • Strong written and verbal communications and stakeholder management skills.
  • Demonstrated ability to administer a range of processes, including maintenance of electronic files, accurate use of and contribute to the continuous improvement of databases.
  • Demonstrated ability to provide excellent customer service over the phone and via email.
  • Demonstrated ability to work to tight timeframes with good time management skills.
  • Demonstrated ability to follow and contribute to the continuous improvement of policies and procedures.
  • Demonstrated ability to maintain confidentiality.
  • Demonstrated ability to work with initiative, maturity and minimal supervision.
